Our Privacy Policy (“Privacy Policy”) is designed to help you understand how we collect, use and safeguard the information you provide to us and to assist you in making informed decisions when using our Service.
For purposes of this Agreement, “Site” refers to the Company’s website, which can be accessed at www.changecollaboration.com. For purposes of this Privacy Policy, the Site also includes Change Collaboration-operated subdomains, portals, assessments, diagnostics, applications, and other online services.
“Service” refers to the Company’s services accessed via the Site. The Service may include assessments, portals, tools, communications, and other online experiences operated by the Company.
The terms “we,” “us,” and “our” refer to the Company.
“You” refers to you, as a user of our Site or our Service.
By accessing our Site or our Service, you accept our Privacy Policy and Terms of Use. You consent to our collection, storage, use and disclosure of your Personal Information as described in this Privacy Policy.
I. INFORMATION WE COLLECT
We collect “Non-Personal Information” and “Personal Information.” Non-Personal Information includes information that cannot be used to personally identify you, such as anonymous usage data, general demographic information we may collect, referring/exit pages and URLs, platform types, preferences you submit and preferences that are generated based on the data you submit and number of clicks. Personal Information includes your email address, consent, and any optional name, organization, role, contact information, question or inquiry content, assessment or diagnostic responses, notes, uploaded materials, portal records, scheduling information, or other information which you submit to us through the Site or Service.
1. Information collected via Technology
Depending on the Service, you may be asked to submit Personal Information such as your email address or information needed to provide the requested Service. However, in an effort to improve the quality of the Service, we track information provided to us by your browser or by our software application when you view or use the Service, such as the website you came from (known as the “referring URL”), the type of browser you use, the device from which you connected to the Service, the time and date of access, and other information that does not personally identify you. We track this information using cookies, or small text files which include an anonymous unique identifier. Cookies are sent to a user’s browser from our servers and are stored on the user’s computer hard drive. Sending a cookie to a user’s browser enables us to collect Non-Personal information about that user and keep a record of the user’s preferences when utilizing our services, both on an individual and aggregate basis. Cookies may help us remember preferences and understand use of the Service.
The Company may use both persistent and session cookies; persistent cookies remain on your computer after you close your session and until you delete them, while session cookies expire when you close your browser.
2. Information you provide us through accounts or restricted access
Where a Service requires an account or restricted access, you may be asked to provide your email address and authenticate using a verification code or other access method. By registering or authenticating, you authorize us to collect, store and use your email address and related authentication information in accordance with this Privacy Policy.
3. Children’s Privacy
The Site and Service are intended for business and professional users and are not directed to anyone under the age of 18. The Site does not knowingly collect or solicit information from anyone under the age of 13, or allow anyone under the age of 13 to sign up for the Service. In the event that we learn that we have gathered personal information from anyone under the age of 13 without the consent of a parent or guardian, we will delete that information as soon as possible. II. HOW WE USE AND SHARE INFORMATION
Personal Information:
We use submitted information to respond to inquiries, manage prospective and current client relationships, provide requested communications, operate and secure the website, and improve our services and content. Joining the email list is separate from sending a service inquiry.
Except as otherwise stated in this Privacy Policy, we do not sell, trade, rent or otherwise share for marketing purposes your Personal Information with third parties without your consent. We do share Personal Information with service providers that perform services for the Company, such as hosting, database and authentication, email and SMS communications, CRM, scheduling, payment, analytics, security, and technology or AI-assisted processing used to provide requested services. We share only information reasonably necessary for those providers to perform services for us, subject to applicable contracts and the providers’ privacy obligations. Some Services may use automated or AI-assisted processing to help provide requested responses, readouts, or other outputs.
Automated processing
Some services use automated or artificial-intelligence-assisted processing to prepare a response, summary, analysis, or draft. We share only information reasonably needed to provide the requested service and omit direct identifiers where possible; information you include in free text may still identify a person or organization. For our automated question responses and assessment readouts, service providers are restricted from using submitted content to train general models or retaining that content beyond the processing needed for the requested service. Change Collaboration may separately retain service records as described in this Privacy Policy.
Human review occurs only when it is part of the selected service, needed to provide support or correction, required for safety or security, or otherwise permitted by this policy. Automated output may be incomplete, inaccurate or mistaken and should be evaluated in context.
Assessments and group services
An organization purchasing or arranging a group service must have authority to invite the intended participants and identify the permitted report recipients. Participants receive notice of the information requested and the intended use. Unless a participant separately authorizes it, we do not provide the purchaser with identity-linked responses, comments, or individual readouts.
Team or group reports use non-identifying patterns and the minimum detail needed to provide the service. We may withhold or combine information where a small group or distinctive comment could reasonably identify a participant. These services are designed for organizational understanding and development, not as employee monitoring, discipline, or a substitute for a lawful employment evaluation process.
Text, voice, and voicemail communications
We may use email, text messaging, or voice calls for transactional service communications, requested follow-up, security, scheduling, and operational alerts. Written consent to receive text messages is collected separately where required and is not a condition of purchasing a service. Message frequency varies; message and data rates may apply. Reply STOP to stop text notifications, START to request resumption where you have an applicable consent record, or HELP for our public support instructions. An opt-in does not automatically enroll you in unrelated marketing or briefing messages. Opting out of texts does not prevent us from using another reasonable channel to deliver a requested service or legally required notice.
When you call a Change Collaboration number, a greeting may invite you to leave a recorded voicemail. Do not include confidential client information, sensitive personal information, or payment-card details in a voicemail. By choosing to leave a message after the greeting, you provide the recording so we can respond, protect the service, and document the request. We do not transcribe voicemail. Access is limited to authorized personnel. Voicemail recordings are scheduled for deletion within 30 days. A separate service or correspondence record may be retained under the general recordkeeping rules below.
Publication, testimonials, and marketing use
We do not publicly identify a customer, participant, organization, submission, service result, quotation, or testimonial for marketing or editorial use without separate optional permission. A purchase or service submission does not itself grant that permission. Where you authorize anonymous editorial use, we may shorten or clarify the agreed material without materially misrepresenting it, and we will not identify you or your organization unless you separately authorize that identification.
Change Collaboration Briefing
Joining the Change Collaboration Briefing requires explicit opt-in. Consent to receive the Briefing is separate from service inquiries, purchases, assessments, client work, and other operational interactions. Using another Change Collaboration service does not automatically enroll you in the Briefing.
Briefing signup data may include your email address, optional first name and organization, consent timestamp and version, source or referrer, and campaign attribution. We use your email address for the Change Collaboration Briefing unless you separately choose another communication. You may unsubscribe at any time using the instructions in each Briefing email.
In general, the Personal Information you provide to us is used to help us communicate with you. For example, we use Personal Information to contact users in response to questions, solicit feedback from users, provide technical support, and inform users about promotional offers. Promotional communications are sent only when separately requested or otherwise permitted by applicable law; a service inquiry or purchase does not automatically enroll you in the Briefing or unrelated marketing.
We may share Personal Information with outside parties if we have a good-faith belief that access, use, preservation or disclosure of the information is reasonably necessary to meet any applicable legal process or enforceable governmental request; to enforce applicable Terms of Use, including investigation of potential violations; address fraud, security or technical concerns; or to protect against harm to the rights, property, or safety of our users or the public as required or permitted by law.
When you use an external payment or other third-party service link, your information is handled by that provider under its own terms and privacy notice. Change Collaboration does not collect payment-card details through the Site.
Non-Personal Information
In general, we use Non-Personal Information to help us improve the Service and customize the user experience. We also aggregate Non-Personal Information in order to track trends and analyze use patterns on the Site. We may use and disclose Non-Personal Information to service providers and business partners as reasonably necessary to operate, secure, analyze, and improve the Service.
In the event we undergo a business transaction such as a merger, acquisition by another company, or sale of all or a portion of our assets, your Personal Information may be among the assets transferred. You acknowledge and consent that such transfers may occur and are permitted by this Privacy Policy, and that any acquirer of our assets may continue to process your Personal Information as set forth in this Privacy Policy. If our information practices change at any time in the future, we will post the policy changes to the Site so that you may opt out of the new information practices. We suggest that you check the Site periodically if you are concerned about how your information is used.
III. HOW WE PROTECT INFORMATION
We implement security measures designed to protect your information from unauthorized access. Where an account or restricted access is used, access may be protected by verification codes or other authentication methods, and we urge you not to share those credentials or codes. We further protect your information using technological and organizational security measures appropriate to the Service, which may include encryption, secure transport, access controls, and other safeguards. However, no security measure can guarantee that information will never be accessed, disclosed, altered or destroyed. By using our Service, you acknowledge that you understand and agree to assume these risks. We retain Personal Information only for as long as reasonably necessary to provide the Service, maintain appropriate business and security records, comply with legal obligations, resolve disputes, and enforce agreements, subject to any more specific retention commitment provided for a particular Service. Different records may have different periods. Service records, payment records, consent evidence, and security logs may have different retention periods. When a stated period ends, we delete or deidentify the information unless a legal or security exception applies.
IV. YOUR RIGHTS REGARDING THE USE OF YOUR PERSONAL INFORMATION
You have the right at any time to prevent us from contacting you for marketing purposes. When we send a promotional communication to a user, the user can opt out of further promotional communications by following the unsubscribe instructions provided in each promotional e-mail.
You may ask to access, correct, or delete information you submitted, subject to legal and operational requirements. We may need to verify your identity before acting.
V. LINKS TO OTHER WEBSITES
As part of the Service, we may provide links to or compatibility with other websites or applications. However, we are not responsible for the privacy practices employed by those websites or the information or content they contain. This Privacy Policy applies solely to information collected by us through the Site and the Service. Therefore, this Privacy Policy does not apply to your use of a third party website accessed by selecting a link on our Site or via our Service. To the extent that you access or use the Service through or on another website or application, then the privacy policy of that other website or application will apply to your access or use of that site or application. We encourage our users to read the privacy statements of other websites before proceeding to use them.
VI. CHANGES TO OUR PRIVACY POLICY
The Company reserves the right to change this policy and our Terms of Use at any time. We will notify you of significant changes to our Privacy Policy by sending a notice to an email address we have for you, when appropriate, or by placing a prominent notice on our Site. Significant changes will go into effect 30 days following such notification. Non-material changes or clarifications will take effect immediately. You should periodically check the Site and this privacy page for updates.
